Overview

RingCentral allows employees to send faxes digitally from their computer or mobile device—no physical fax machine required. This guide outlines the steps for sending a fax using the RingCentral desktop app or web interface.


Requirements

  • Active RingCentral account (SSO-enabled)
  • Internet connection
  • Recipient’s fax number
  • Document(s) to send (PDF, Word, or image formats recommended)

Method 1: Send a Fax via RingCentral Desktop App

Step 1: Open the App

  1. Launch the RingCentral desktop application
  2. Select Single Sign-On (SSO) and sign in using your LSSC network credentials if prompted

Step 2: Navigate to Fax

  1. Click “Fax” from the left-hand navigation menu
  2. Select “Compose Fax”

Step 3: Enter Recipient Information

  1. In the To field, enter the recipient’s fax number
    • Include area code (e.g., 1-352-XXX-XXXX)
  2. Add a contact name if desired

Step 4: Add Cover Page (Optional)

  1. Fill in subject and message fields
  2. Edit sender details if needed

Step 5: Attach Documents

  1. Click “Attach Files”
  2. Select documents from your computer
  3. Verify files are attached correctly

Step 6: Send Fax

  1. Review all entered information
  2. Click “Send”

Step 7: Confirm Delivery

  • Check the Sent Fax or Outbox folder
  • Status indicators:
    • Sent – successfully transmitted
    • Failed – transmission error (retry if needed)

Method 2: Send a Fax via RingCentral Web Portal

Step 1: Access the Web Portal

  1. Go to: https://app.ringcentral.com
  2. Click Single Sign-On (SSO) and sign in using your LSSC network credentials

Step 2: Open Fax Composer

  1. Click “Fax” in the menu
  2. Select “Compose Fax”

Step 3: Complete Fax Details

  • Enter recipient fax number
  • Add subject/message (optional)
  • Attach documents

Step 4: Send

  • Click “Send Fax”
  • Monitor status under Sent Faxes

Tips for Successful Faxing

  • Use PDF format for best compatibility
  • Ensure file sizes are within system limits
  • Double-check fax numbers before sending
  • Avoid sending sensitive data unless required and secure
  • Retry failed faxes or confirm recipient availability if needed
